Interlibrary Loan (ILL) is an exclusive service provided by Sweet Briar College Library to Students, Faculty and Staff. If our campus libraries do not have an item that is needed for research, the SBC Library may be able to borrow it from another library in Virginia or elsewhere in the United States. Item such as books, copies of journal articles and sometimes audiovisual items may be borrowed from other libraries for the convenience of members of our community.

How do I make an Interlibrary Loan request?

Please check LION and Journal Finder before you make a request to verify that the Sweet Briar College Libraries DO NOT already own the materials that you need. 

If you have never requested an ILL through our Illiad system, you will have to register before you can make a request. Registration is easy. You may register with your Sweet Briar College email and password if you prefer.

How fast can I get my materials through Interlibrary Loan?

Every effort is made by the Interlibrary Loan staff to handle each request expeditiously. However, there are inherent delays after the request leaves this library that prevent us from guaranteeing that material will be received within a specific time period. November and April are the slowest times of year for materials to arrive.

You should allow 10 - 14 days for your requests to be processed. The average turnaround time is three to five days for copies of articles and three to fourteen days for books. Borrowers are encouraged to submit ILL requests well in advance of deadlines.

How much will an Interlibrary Loan cost?

Generally there is no cost to the borrower. However, fees are charged by some institutions. When this happens, you will be contacted for further instructions. All borrowers will be responsible for late fees and for replacement costs of lost items. One dollar is charged for each day that an ILL item is overdue. The library will not process any ILL requests if the patron has overdue ILL items or charges.

What kinds of materials may be requested?

Books, and journal articles are the most frequently loaned materials. Most lending libraries do not lend items from special collections, bound volumes of periodicals, microfiche/microfilm, or audio-visual materials, but we can sometimes borrow these items from the LION and VIVA libraries. Theses and dissertations are rarely available for ILL and can be borrowed only by faculty and students working on senior projects. Students and faculty may purchase a dissertation from UMI’s Dissertation Express for $28, as of 2005. Contact your ILL Librarian for this information. As a last resort, we can attempt to borrow items from the Library of Congress. Book loans and copies are free from the Library of Congress but books are for library use only, with no exceptions.

How do I know when my Interlibrary Loan item is here?

Generally we will contact your email account, your campus extension or a local phone number when an interlibrary loan book or article is ready to be picked up at the Circulation Desk.  Copies of journal articles for faculty are usually sent directly to campus mailboxes.

How long may I keep an Interlibrary Loan item?

Copies of articles are yours to keep. However, because of copyright regulations you need to discard the articles when you are finished with your research. Books from ILL are generally loaned to us for eight weeks with no renewal. There are some libraries that will only lend an item for two weeks. It is up to the borrower to be mindful of and honor the due date of each item as a courtesy to the lending library. Failure to return an Interlibrary Loan book when due may lead to the suspension of Interlibrary Loan priviledges.

The library will not process any ILL requests if the patron has overdue ILL items or charges.

How can I make the ILL form AutoFill or autocomplete?

As a general point of interest, most AutoFill utilities will cause the fields which AutoFill recognizes to appear in yellow. These are the fields which you can expect AutoFill to handle for you.

In Explorer -
Adjusting AutoComplete settings:

  1. In Internet Explorer, on the Tools menu, click Internet Options.
  2. Click the Content tab.
  3. Under Personal information, click AutoComplete.
  4. Select the check boxes for the AutoComplete options you want to use.

Explorer does not simply pre-fill the form for you. You will have to click in each yellow field and select the information which you wish to use in that field from a menu. If you like to use Explorer, a better AutoFill option comes from Google. If you have the Google Toolbar you have an AutoFill option that comes with the toolbar. This AutoFill will pre-fill the yellow fields without forcing you to click each one. If you do not have a Google toolbar, you can get one free here.

Google Toolbar in Explorer -

  1. Click the 'Options' button on your Toolbar.
  2. Select the 'AutoFill' tab at the top of the dialog box.
  3. Edit any information.
  4. Click 'OK' when you are done.

When you see a yellow-colored form field on a webpage, you can click the 'AutoFill' button to have AutoFill complete the form with the information you've provided.

When using AutoFill, we encourage our users to be careful about the type of information they’re providing. Please be aware that certain pages may try to capture information in hidden or hard-to-see fields, so it is important that you use AutoFill only on sites you trust. If you are unsure what information you are providing, you can see your data before it's entered into the form by holding down the Shift key as you click the 'AutoFill' button.

In Mozilla -

  1. Fill in the ILL form completely.
  2. Go to Tools on the menu bar.
  3. Select Form Manager - Save Form Info
  4. The next time you need to AutoFill the form, just go to Tools - Form Manager - Fill In Form

The Mozilla Form Manager is the best at retaining info for the largest number of form fields. Library staff recommend Mozilla as the browser that best responds to ILL autofill needs.

In Safari -
This can only work on your home or office computer because Safari takes info from your Address Book card.

  1. Make sure your Address Book Card is complete.
  2. Under Edit on the Menu Bar choose AutoFill Form

In FireFox -
FireFox does not offer an AutoFill or autocomplete feature.

Copyright Restrictions

The Copyright Law of the United States (Title 17, United States Code) governs the making of photocopies or reproductions of copyrighted materials.

Under certain conditions specified in the law, libraries and archives are authorized to furnish a copy or other reproduction.  One of these specified conditions is that a photocopy or reproduction is not to be "used for any purpose other than private study, scholarship, or research."  If a user makes a request for, or later uses, a photocopy or reproduction for purposes in excess of "fair use," that user may be liable for copyright infringement. 

This institution reserves the right to refuse to accept a copying order if, in its judgment, fulfillment of the order would involve violation of the copyright law.

The U.S. Copyright laws prevent the library from borrowing within any calendar year a total of six or more copies of an article or articles published in the same periodical within five years prior to the date of the request.

Due to copyright requirements, the library cannot borrow textbooks or required readings for classes offered during the current semester.
