| The
Mary Helen Cochran Library encourages gifts of books, other printed
materials, audio visual media, works of art, realia, or money for
the purchase of books or other resources which will enhance the collections.
The
library accepts gift books with the understanding that these books
will be retained which meet the standards set forth in our acquisitions
policy or enhance in some unique way the library collections. Other
books will be disposed of in whatever manner the library determines
to be the most suitable, such as gifts to other libraries or nonprofit
institutions, exchanges for needed books of equal value, or sales,
with the money to be used for purchase of books.
Gifts of nonbook
materials such as art, realia or equipment are considered on an
individual basis. The Director of Libraries, the donor, and other
appropriate persons, if any, are involved in the discussions, negotiations,
and decisions. If the donor is a graduate, the Director of Alumnae
should be involved and/or informed. If the gift is of sufficient
value to be considered a major gift, the Director of Development
and the President should be informed and involved as appropriate.
The library
tends to discourage gifts with extensive restrictions because the
restrictions occasionally make it impossible for the library to
fulfill its function of serving appropriately the Sweet Briar community.
If a restricted gift is of sufficient value to the library, its
users, and its program, it will be accepted.
The library,
because of function and space, cannot promise to maintain a collection
or group of books as a single entity segregated from the circulating
and reference collections. The library reserves the right to make
the decision as to the most appropriate use and housing of a gift
collection or group of books.
Individual
books will be identified by appropriate bookplates, indicating donor
and other specified information. A collection of books, accepted
because of size and value, may be identified by a specially designed
bookplate.
The library
- under no circumstances - ever acts as an appraiser. Should an
appraisal be required for tax purposes, it is the donorŐs responsibility
to comply with the guidelines of the tax law through the library
will assist in any way legally allowed. All gifts are acknowledged.
The acknowledgement includes a list of gift items and an official
form to be used for income tax purposes. Also included is the appropriate
IRS form where necessary.
In general,
the library does not accept gifts for deposit without a written
statement from the depositor detailing a plan whereby the gifts
will ultimately become the property of the library.
